ADMINISTRATIVE AND DEVELOPMENT ASSOCIATE

Job Overview / Summary:

The Administrative & Development Associate is primarily responsible for supporting all development
activities of City of Good. This includes but is not limited to managing all donor data, partnering with the
executive director on development tasks and appeals, overseeing the database, communicating with
donors and volunteers, responding to phone calls and emails, scheduling meetings, and maintaining an
effective organizational work flow. The ideal candidate will be flexible and remain open to evolving responsibilities and expectations as our systems and programs grow and evolve.

  • 32 hours per week
  • 90% remote, up to 10% in person
  • Compensation: $20 per hour

Key Accountabilities:

  • Ensure all development database records give a full and accurate history of relationships with constituents. This includes daily gift data entry, ensuring that all correspondence is completed on the requested timeline, accurate, grammatically clean, and follows City of Good’s style guide.
  • Distribute regular communication materials sent to City of Good Donors to engage them in the impact of their support and our mission. This includes producing, printing, and mailing thank you and renewal letters, creating and using e-newsletter templates, and partnering with the executive director on annual appeals.
  • Track and record pledges in Bloomerang ensuring that timely pledge payment reminders are sent and accurate reports are built.
  • Track and record recurring gifts in Bloomerang including: securing updated credit card/ACH information, updating database records, and ensuring financial information remains confidential.
  • Assist the Executive Director in developing impact reports, updates, and applications for funders.
  • Manage grant calendar and files.
  • Coordinate fundraising event planning, including invitations, catering, reception, and hospitality.
  • Answer CoG phone line during business hours.
  • Respond to all voicemails and emails, forwarding to other staff, as needed.
  • Schedule all board and committee meetings, tracking attendance, and sending reminders.
  • Provide hospitality for meetings within budget and dietary parameters.
  • Pick up and process mail 2x per week.
  • Process all checks and donations received in the mail.
  • Partner with CoG’s bookkeeper to ensure all donations, invoices, and bills are processed according to financial procedures.

BOOKKEEPER

Job Overview / Summary:
Under the direction of the executive director, this position is responsible for performing a variety of bookkeeping and accounting duties including all organizational financial record keeping. The Bookkeeper performs weekly, monthly and annual operations of bookkeeping and accounting including month and year-end reports, accounts payable and receivable, invoicing, payroll, expense report reimbursements, cash forecasting, and account reconciliations.

  • 8-10 hours per week
  • Compensation: $28 per hour

Key Accountabilities:

  • Overall responsibility for data entry into accounting system and integrity of accounting system data.
  • Issues checks in an accurate and timely manner.
  • Ensures that all expenditures and donations are appropriately categorized.
  • Enforce proper accounting methods, policies, and principles.
  • Work closely with the executive director to prepare and analyze finances and projections, including creation and maintenance of annual organizational, program budgets, and monthly financial reports.
  • Establish and maintain fiscal files and records to document transactions.
  • Review all payrolls before sending to third party payroll processor and manage all personnel files.
  • Maintain general ledger.
  • Assist third-party auditor with external audit.
  • Work closely with the development associate and executive director to ensure accounting accuracy on restricted and unrestricted gifts, individual and institutional.
  • Reconcile bank accounts and provide reports to executive director and treasurer each month.
  • Reconcile credit card statements.
  • Maintain highly organized financial records keeping; invoices, payroll paperwork, reimbursements, donations, and earned revenue.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Performs other duties as assigned by the executive director.

Job Requirements:

  • Advanced proficiency in QuickBooks
  • Non-profit account experience
  • Excellent verbal and written communication skills
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow
  • Understanding of and commitment to City of Good’s mission
  • Proficiency in English
  • Associate’s degree (AA/AS) or equivalent; three to five years’ related experience; or equivalent combination of education and experience.
